Management System Implementation and Certification Readiness

Under our management system implementation service, we work side by side with organizations obtaining their first certificate — or rebuilding an existing system — all the way from a blank page to the certification audit.

Standards covered by our implementation service: ISO 9001, ISO 14001, ISO 45001, ISO 27001, ISO 50001, IATF 16949, AS 9100, ISO 17025 and SA 8000.

Our approach

We build the system for daily operation, not just for the audit.

Systems prepared merely to pass an audit end up shelved afterwards, or add workload on top of existing operations. Our starting point is this: your processes already exist; the system is about translating them into the language of the standard and completing the missing links.

The practical result of this approach is a small number of documents — and documents that are actually real. The lasting result is processes that run with fewer errors and greater efficiency.

Project steps

1. Scope and context. The certification scope, sites, context of the organization and interested parties are defined.

2. Process map. Processes are defined according to the process approach; what gets mapped is the real flow, not the org chart.

3. Risk and opportunity assessment. Risk-based thinking is embedded into the system.

4. Documentation. The policy, procedure, instruction and form set is prepared, and the documented information control structure is established.

5. Roll-out. Implementation starts in the field and records begin to be produced. This step cannot be skipped; the auditor wants to see records.

6. Team training. Awareness training is delivered to all staff, internal auditor training to the relevant team.

7. Internal audit and management review. The first full cycle is carried out.

8. Certification audit readiness. Guidance on selecting a certification body, a readiness audit and audit-day support.

Deliverables

  • Scope and context analysis
  • Process map and interaction diagram
  • Risk-opportunity assessment
  • Complete document set
  • Training records
  • Internal audit report and management review record
  • Readiness audit report

When is this service needed?

You are getting certified for the first time. A customer, a tender specification or a new market has asked for a certificate and you do not know where to start. This is the most common scenario.

Your existing system does not function. You hold a certificate, but the system only comes alive around audit time. Documents do not reflect actual practice, and records are produced a few days before the audit.

The quality function is newly established. You have just hired a quality manager, or assigned the role to an existing employee, and the experience gap needs to be closed.

You are on a tight schedule. A customer wants the certificate by a specific date. On tight timelines, external support is the most realistic way to make the deadline.

You will implement several standards together. An integrated implementation is both faster and more economical than building each system separately — but it has to be designed that way from the start. Merging systems later is far more laborious.

Who is management system implementation for?

  • Organizations entering the certification process for the first time
  • Companies establishing or restructuring their quality function
  • Manufacturers opening up to a new market or customer group
  • Certified organizations that want to rebuild their existing system
  • Organizations that want to run several standards in an integrated system
  • Groups extending certificate scope to a new site or legal entity

How We Work

On site and remote: steps that require field work take place at your facility, while document and analysis work is carried out remotely.

Together with your team: the work is done with you, not on your behalf. The goal is not to finish a project but to leave you with a system you can sustain.

Transparent planning: a step-by-step plan with owners and dates is shared at the start, and progress is reported regularly.

Frequently Asked Questions About Management System Implementation and Certification Readiness

How long does implementation take?

It depends on the size of the organization, the scope and the maturity of existing processes. A clear timeline is shared after the initial meeting and site review.

Do you issue the certificate?

No. Certification is performed by accredited certification bodies. For impartiality reasons, the same body cannot provide both consulting and certification; we get you ready for the audit.

Do you deliver a ready-made document set?

We start from templates but do not hand over an off-the-shelf set. Documents that have not been adapted to your processes cause problems both in the audit and on the shop floor.

Can we implement several standards together?

Yes. For standards sharing the harmonized structure, the context, leadership, competence, documentation and internal audit sections can be combined into a single system — saving both time and cost.

Will you be with us on audit day?

Yes, we provide audit-day support on request.
